Before the first reply

Confirm that the conversation was initiated by the buyer or otherwise has the permission your setup requires. Preserve the source, listing or campaign, buyer’s original words, received time, and available language context.

Choose the approved material the conversation is allowed to use. Remove stale brochures, prices, payment plans, and viewing instructions before starting a pilot.

During qualification

Acknowledge the property or requirement before asking for more information. Ask only what changes the next recommendation: objective, area, property type, timing, approximate range, decision group, or viewing intent.

Use one manageable question at a time and explain why sensitive or financial context is relevant. Unknown information should remain unknown; it should not reduce a buyer’s score by default.

Before an automated answer

Check that the answer comes from current approved material and does not turn a missing fact into a confident claim. Price, availability, fees, finance, legal terms, and investment outcomes require particular care.

If the evidence is missing or conflicts, say that the point needs confirmation and route it to an agent with the unresolved question intact.

At handoff and follow-up

Give the agent the source, property, buyer messages, answers collected, material sent, current owner, unresolved question, and recommended next action. Tell the buyer when a person is taking over.

When an agent replies, automation should step aside. Record pauses and opt-outs immediately, and do not restart a stopped conversation merely because it remains in a CRM segment.
